This position is based near Menlo Park, California, and will work remotely while the office is closed due to COVID-19 restrictions. The office is slated to reopen mid-summer 2022. At which time, a hybrid model will be implemented with an expectation of only eight days a month in office.
 
What you’ll be doing:
  • Deliver effective and strategic administrative support to departmental staff members. 
  • Aid executive-level personnel in the comprehensive grantmaking sequence and budgetary oversight.
  • Orchestrate project management activities and knowledge sharing across the team.
  • Help monitor the budget and inform the leadership team as needed to aid them in their decision-making process.
  • Document and prioritize important data to help the leadership team make critical decisions for the team and its programs.
  • Proactively design and execute templates, deadlines, analyses, and procedures to streamline and improve operations.
  • Accomplish multifaceted meeting and event coordination, create and manage agendas, construct and disperse meeting notes, and produce documents.
  • Synchronize with office support staff concerning expenses, contract preparation and management, and executing timely reimbursements.
  • Manage grant processes and documentation for the management team while ensuring quality, consistent, and timely deliverables.
  • Support leadership with grant proposal evaluations, budgets, and record-keeping including examining grant reports and payments.
  • Partner with grantees to foster relationships and manage processes as needed.
What you have to offer:
  • 2+ years of related administrative experience.
  • Fluency in Spanish or Portuguese is required.
  • Ability to manage up and outstanding project management capabilities.
  • Bachelor’s degree required.
  • Adept in MS Outlook and MS Office (Word, PowerPoint, and Excel).
  • Amazing writing, editing, proofreading, and organizational skills.
  • Sensitivity to and experience with multicultural communication essential.
  • Collaborative skills and ability to work effectively in a fast-paced environment.
  • Interested and excited about finding value in enabling the work of others and being in a supportive role.
  • You are a collaborative employee that excels at working with other departments, communicating with grantees, and representing the nonprofit.
  • An outgoing person that is also a quick learner who can take direction well.
  • Must be detail-oriented and aware of the nuances that come with working with professionals at all levels.
  • An analytical employee that understands the bigger picture and the process.
  • A go-getter that can jump into tasks headfirst and easily collaborate with other facets of the program.
