Scion Nonprofit Staffing has been engaged to conduct a search for a Program Assistant on behalf of our amazing client, a social services organization with a mission to undo systematic racism in the housing industry. This role is a hybrid, 3 month contract opportunity, located in Seattle, WA.

As the Program Assistant, you will work closely with the Division Director and Manager and provide support to the team as needed.

RESPONSIBILITIES:
  • Schedule meetings, appointments, and events for the division director, ensuring no conflicts arise.
  • Prepare meeting agendas, presentations, and relevant documents. format and save final meeting notes, inform team members, and follow up on action items as needed.
  • Draft and edit correspondence, memos, and reports as requested by the division director.
  • Organize and maintain divisional files, databases, and records, ensuring easy access and confidentiality as needed.
  • Support the division director in managing various projects by tracking progress, communicating with team members, and ensuring deadlines are met.
  • Serve as a liaison between the division director and other departments, external partners, and stakeholders, relaying messages and coordinating communication.
  • Assist in planning and organizing divisional events, such as team-building activities, retreats, and celebrations.
  • Conduct research on various topics as assigned by the division director/manager, compiling relevant information and summarizing findings. 
  • Run production reports from Homebase and gather all relevant information for quarterly and monthly reports and populate the templates.
  • Send around for comments and updates, input all new info, and send to Executive Assistants in the Admin/Exec division.
  • Post finished versions on shared drive.

QUALIFICATIONS:
  • 2-3+ years Administrative Assistant or Program Assistant experience
  • Strong technological prowess both for independent use and tech-support
  • Proficient with MS Office Suite
  • Proficient with Adobe Suite
  • Proficient with DocuSign
  • 2-3+ years database management experience


COMPENSATION AND BENEFITS:
This hybrid contract-to-hire opportunity allows you to work with an enthusiastic and thriving organization! The pay range for this role is $25 - $28 per hour. You will also be able to receive medical, vision, and dental insurance benefits through Scion Staffing upon eligibility.
